How to Catalog Jewelry, Art and Collectibles Securely

High-value property needs more proof and more privacy. Insurance documentation and Marketplace listings should remain separate privacy zones: nothing becomes public unless the owner deliberately creates a separate listing.
STEP 01

Create one record per valuable

Use a precise title, category, maker or artist, dimensions, materials, markings, grading details and acquisition date. For sets, decide whether the insurer treats the collection as one scheduled item or many.

STEP 02

Photograph condition and identifiers

Capture the front, back, signature, hallmark, serial number, certificate number and any existing damage. Use neutral light and include scale when dimensions are not obvious.

STEP 03

Upload professional evidence

Keep appraisal reports, certificates of authenticity, grading reports, receipts, provenance and insurance schedules attached to the individual record.

STEP 04

Separate value from location

The claim record may need a value; it rarely needs a description of exactly where the property is hidden. Store precise locations only when genuinely useful and keep them inside the encrypted vault.
